INFORMATION WE COLLECT
We collect information that you provide directly to us or that we obtain when you interact with businesses using our services.
Contact Information: Phone numbers obtained via caller ID when you contact businesses using our services. Names, email addresses, and mailing addresses when voluntarily provided during a call or SMS conversation.
Service Information: Details about the service you are requesting, appointment dates and times, communication history and message preferences, and any other information you voluntarily share during a phone call or text conversation.
AI Interaction Data: Voice recordings of phone calls handled by our AI voice receptionist. Transcripts generated from those call recordings. Caller intent, sentiment, and conversation flow data derived from AI processing. Appointment booking details captured during AI interactions.
Technical Information: Device and carrier information, message delivery status and timestamps, call duration and connection data, and IP address and browser information when visiting our website.
HOW WE COLLECT INFORMATION
We collect information through caller ID when you phone businesses using our services, AI voice receptionist interactions including voice recordings and transcripts, SMS text message conversations, information businesses share with us to facilitate your service request, automated systems that process voice and text communications, and cookies and analytics tools on our website.
AI-SPECIFIC DATA COLLECTION
When you interact with our AI voice receptionist, please be aware of the following.
Call Recording: Calls answered by our AI system may be recorded. Recordings are used to provide services to the Business Client you are contacting, for quality assurance and service improvement, for appointment booking verification, and for Business Client reporting and analytics. Washington State is a two-party consent state. By continuing a call after our AI receptionist greets you, you consent to the recording of that call. If you do not wish to be recorded, you may hang up at any time.
Call Transcription: Calls may be automatically transcribed by our AI system. Transcripts are used for the same purposes as call recordings and may be shared with the Business Client you are contacting.
AI Processing: Our AI system processes your voice input in real time to understand your request, provide relevant information, check calendar availability, and book appointments. This processing is performed by third-party AI service providers under strict data processing agreements.
SMS OPT-IN AND CONSENT
By providing your phone number and opting in via our website form, text message, verbal consent during a call, or by calling a business that uses our services, you agree to receive SMS messages from StringLink Automation LLC and the businesses we serve.
What You Are Consenting To: Appointment confirmations and reminders, service updates and follow-ups, responses to your inquiries. We do not send promotional or marketing messages without separate explicit consent.
Message Frequency: Message frequency varies based on your interactions. Typically one to five messages per service inquiry.
Costs: Message and data rates may apply. Check with your carrier for details.
How to Opt Out: You can opt out at any time by replying STOP to any message, emailing link@stringlinkautomation.com, or contacting the business directly. After opting out, you will receive one final confirmation message. You will not receive further SMS messages unless you opt in again.
Your consent to receive SMS messages is not a condition of purchasing any goods or services.
HOW WE USE YOUR INFORMATION
We use your information to answer inbound calls and respond to missed calls and service inquiries, schedule and confirm appointments through our AI booking system, send service updates, appointment reminders, and follow-up communications, provide call recordings, transcripts, and analytics to Business Clients, process opt-out requests, improve our AI voice receptionist and SMS services, train and improve our AI systems using anonymized and aggregated data, comply with legal obligations, and prevent fraud and abuse.
HOW WE SHARE YOUR INFORMATION
We do not sell, trade, or rent your personal information to third parties for marketing purposes.
We may share your information only in the following limited circumstances.
With Business Clients: The business you contacted receives your information to fulfill your service request. This includes your name, phone number, email, service details, appointment information, call recordings, and call transcripts.
With Service Providers: SMS platform providers to deliver text messages, AI and voice processing providers to power our voice receptionist, cloud hosting and data storage providers, and analytics providers. All service providers operate under strict confidentiality and data processing agreements.
For Legal Reasons: When required by law, subpoena, or court order, to protect our rights, property, or safety, to prevent fraud or illegal activity, and in connection with legal proceedings.
Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity. We will notify you of any such change.
MOBILE INFORMATION SHARING STATEMENT
We do not sell, rent, loan, trade, lease, or otherwise transfer for profit any phone numbers or personal information collected through our SMS or voice services to any third party.
Specifically regarding mobile information: Phone numbers collected through our services are used solely to provide the services you requested. We do not share your mobile number with third parties for their marketing purposes. We do not use your mobile number for telemarketing. Your mobile information is not shared with data brokers or advertisers.
The only parties who receive your mobile information are the business you contacted to fulfill your service request, our SMS platform provider solely to deliver messages on our behalf under strict confidentiality, and our AI service providers solely to process your call under strict data processing agreements.
DATA SECURITY
We implement reasonable administrative, technical, and physical security measures to protect your information from unauthorized access, alteration, disclosure, or destruction.
Security measures include encrypted data transmission for voice and text communications, secure storage of call recordings and transcripts, access controls and authentication for all systems, regular security assessments, service provider confidentiality and data processing agreements, and restricted access to personal data on a need-to-know basis.
However, no method of transmission over the Internet, cellular network, or electronic storage is completely secure. We cannot guarantee absolute security of your information.
DATA RETENTION
We retain your information only as long as necessary to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements.
Retention periods: Active service inquiries are retained for the duration of service plus 90 days. Call recordings and transcripts are retained for up to 12 months unless a longer period is required by law or requested by the Business Client. SMS communication records are retained for up to 24 months for quality assurance. Opted-out contacts are maintained in a suppression list indefinitely to ensure we do not contact you again. Legal compliance records are retained as required by applicable law.
You may request deletion of your data at any time by contacting link@stringlinkautomation.com. Deletion requests are subject to any legal retention requirements.
YOUR PRIVACY RIGHTS
You have the right to the following.
Access Your Information: Request a copy of the personal information we hold about you, including any call recordings or transcripts.
Correct Your Information: Request correction of inaccurate or incomplete information.
Delete Your Information: Request deletion of your personal information, including call recordings and transcripts, subject to legal retention requirements.
Opt Out of Communications: Stop receiving SMS messages at any time by replying STOP or contacting us. Request that future calls not be recorded.
Restrict Processing: Request that we limit how we use your information.
Data Portability: Request a copy of your information in a commonly used, machine-readable format.
Object to Processing: Object to certain uses of your information, including AI processing of your voice data.

CHILDREN'S PRIVACY
Our services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children under 18.

CALIFORNIA PRIVACY RIGHTS
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA).
Right to know what personal information is collected, including AI-generated data such as call transcripts. Right to know if personal information is sold or disclosed. We do not sell personal information. Right to say no to the sale of personal information. Right to access your personal information. Right to request deletion of personal information. Right to correct inaccurate personal information. Right to limit the use of sensitive personal information. Right to equal service and price with no discrimination for exercising your rights.

WASHINGTON STATE PRIVACY RIGHTS
As a Washington State business, we comply with the Washington My Health My Data Act where applicable and all other applicable Washington State privacy and consumer protection laws. Washington residents may contact the Washington State Attorney General's office with privacy concerns at www.atg.wa.gov.
DO NOT TRACK SIGNALS
Our services do not respond to "Do Not Track" signals from web browsers, as our services are primarily voice and SMS-based rather than web-based.
